What should stay human?

  1. Choosing who you contact. If the list is wrong, nothing after it works.
  2. The offer. Software can't fix a message nobody wants.
  3. The conversation once someone replies. That's a warm lead now. Treat it like one.

Automate the timing and the admin. Keep a person on anything a prospect will judge you by.

How to automate cold email outreach

Here's the order we'd do it in.

  1. Pick one narrow audience. One industry, one job title, one problem.
  2. Build a small list you can check by eye. Start with 50 to 100 contacts.
  3. Set up your sending domain. You need SPF, DKIM and DMARC records. They prove the email came from you.
  4. Write a short sequence. Three or four emails across two weeks is plenty to start.
  5. Set the stop rules. A reply, an unsubscribe or a bounce ends the sequence for that person.
  6. Send a small batch. Read every reply. Fix the message before you send more.

Step three isn't optional any more. Since February 2024, Google's email sender guidelines have required anyone emailing personal Gmail accounts to set up SPF or DKIM.

Send more than 5,000 messages a day and you need all three records. Your marketing emails need one-click unsubscribe too.

A sample cold email sequence

Here's a four-email sequence you can copy. Swap the brackets for your own details.

  1. Day 1. The first email. One reason you're writing and one question.
  2. Day 4. A short follow-up with one useful idea.
  3. Day 9. A different angle on the same problem.
  4. Day 14. A polite last note. Then stop.

The first email can be this short.

Subject: Question about [their business name]

Hi [first name],

I saw [one specific thing on their website]. We help [type of business] fix [one problem].

Is it worth a 10-minute call this week?

[Your name], [your business name], [your phone number]

To stop these emails, reply with "unsubscribe".

It names the sender, gives contact details and shows how to opt out. Those three matter in Australia, and the rules are further down.

Is cold email still effective in 2026?

Yes, if the list is small and every contact has a reason to hear from you. Here's the maths.

Google tells senders to keep spam complaints below 0.3% in its Postmaster Tools. It says to aim for under 0.1%.

Do the sums on 0.3%. That's three complaints in every 1,000 emails. Blast a few thousand strangers and you can cross that line in a day.

So the fix is fewer emails, sent to people with a real reason to hear from you.

  • Your spam rate in Google Postmaster Tools is under 0.3%.

The rules in Australia

The Spam Act 2003 covers marketing emails and messages in Australia. The regulator is the Australian Communications and Media Authority (ACMA). Its guide to avoiding spam sets out three duties.

  1. Consent. You need it before you send. It can be express or inferred, and inferred consent has limits.
  2. Identity. Every message must name your business and include your contact details.
  3. Unsubscribe. Every message needs a clear way to opt out. You have 5 working days to act on it.

Two more points catch people out.

A bought list doesn't come with consent. The ACMA says you're still responsible for every address you use. And you can't use a list made with address-harvesting software.
