Who Answers Your Phone After Hours? What Australian Service Businesses Lose Between 5pm and 9am

6 min read

Most missed calls happen when you are busy or closed, and most callers never leave a voicemail. Here are the four ways to answer after hours, what each one costs in Australia, and the questions to ask before you pick one.

Your phone rings at 6:40pm. You are at dinner, on a site or finally off the clock. It goes to voicemail. Now ask the honest question: did that caller leave a message, or did they ring the next business on the list?

For most service businesses the answer is the second one. Here is what that gap costs. You will also see four ways to close it, and what each one costs in Australia.

The after-hours gap in numbers

Most unanswered calls go to voicemail. Very few voicemails ever get a callback. The rest of the callers hang up and move on. That is the whole problem in two numbers: a missed call is a lost lead, not a delayed one.

Timing makes it worse. In the Australian businesses we have audited, a typical first reply takes about 3.5 hours during the day. After hours, a 6:40pm call often waits until 9am, fourteen hours later. The Lead Response Management study found the odds of reaching a lead fall roughly 100 times between minute five and minute thirty. Fourteen hours is not on that chart.

And the callers who ring outside hours are often the good ones. The tradie phoning about a burst pipe at 7pm. The clinic patient who only gets a break at lunch or after work. The business owner who does their own admin at night. They are motivated, and they are calling now.

Four ways to answer after hours

OptionWhat the caller getsWhere it falls downCost in Australia
VoicemailA recording and a hopeMost callers do not leave a message, and fewer than one in twenty get called backFree, and the most expensive option on the list
Missed call text backA text within seconds, then a conversationStops at the text unless something answers the replyIncluded in most CRM plans, or built into an AI front door
Live answering service or virtual receptionistA person takes a message or books from a scriptPer-call pricing, scripts that cannot answer real questions, messages that still land at 9amA monthly base plus per-call or per-minute fees
AI receptionist or answering agentAnswers, qualifies, books and hands over, any hourOnly as good as its setup; a bad one sounds like a menuNjin: $900 setup and $400 a month for the Instant Reply Agent; $3,200 and $1,200 a month for the Conversational AI Agent

Voicemail is not really an option. It is the default you get when you have not chosen one. The other three are all improvements, and the right one depends on what happens after the phone is answered.

What matters is what happens after "hello"

A message taken at 6:40pm and read at 9am is a slower voicemail with a human attached. The question to ask about any after-hours option is not "does someone answer?" but "can the caller get what they rang for?"

  • Book, not just take a message. The caller wanted a time. Give them one. An AI receptionist that offers two slots and confirms one has finished the job.
  • Answer the obvious questions. Do you service my suburb, are you open Saturday, what does it roughly cost. A script cannot. A system trained on your business can.
  • Qualify before it reaches you. The 7pm call that is a $12,000 job and the one that is a quote for a $90 fix should not both wake you up.
  • Hand over cleanly. When it is urgent or unusual, a real person gets a transfer or an alert, with the conversation so far attached.

The cheapest fix that clears the first bar is missed call text back. If the caller needs to book, use an agent that can finish the job. Our 24/7 lead response guide walks through the full setup.

What to ask a provider before you sign

  1. Play me a real call. Not a demo video. A recording of a caller with an accent, a barking dog and a question the script did not expect.
  2. What happens when it does not know? The honest answer is "it hands over" with a clear path, not "it never happens".
  3. Can it write into my calendar and my CRM? If bookings land in an inbox for someone to copy across, the 9am problem is back.
  4. How is it priced when volume spikes? Per-minute plans punish you for the busy week that made you need help.
  5. Who owns the phone number and the data? You should be able to leave with both. Recording and messaging also have to follow Australian consent rules, which is the line the ACMA draws for SMS follow-ups.

What it costs to keep doing nothing

Take one missed after-hours job a week. For a plumber, an electrician or a clinic that is somewhere between a few hundred and a few thousand dollars, fifty times a year. Work out what one saved job is worth to you. Then compare it with the monthly fee of each option above.

The point of answering after hours is not to work longer. It is to stop paying for enquiries you never hear. Our post on speed to lead covers the daytime version of the same problem, and the same fix covers both.

Common questions

What is an after-hours answering service?

A service that answers your business phone outside your opening hours, either with a person working from a script or with an AI agent. The useful ones do more than take a message: they answer common questions, qualify the caller and book them in.

How much does it cost to hire an answering service in Australia?

Live answering services usually charge a monthly base plus a fee per call or per minute, so the bill rises in your busiest weeks. Njin's AI options are flat: $900 setup and $400 a month for the Instant Reply Agent, or $3,200 and $1,200 a month for the Conversational AI Agent, which handles voice as well as text.

Can an AI answer my phone calls after hours?

Yes. An AI receptionist answers any hour, answers questions about your business, offers booking times and hands urgent calls to a person. It does not tire, and it does not leave the caller waiting until 9am.

Is voicemail enough for a small business?

No. Most callers hang up without leaving a message, and very few voicemails get a callback. Even a simple automatic text back after a missed call recovers more of those leads than voicemail does.
